Microsoft Outlook 97 - Configuring

Note: Login to a CS Windows machine before doing the following

To configure from an off-campus machine, first setup a VPN connection to the TAMU Network and then follow the procedures given below.

CAUTION: You can configure either Outlook Express or Microsoft Outlook to read your mails. You cannot configure both.

Configuring Microsoft Outlook

Click the start menu on your desktop and go to Settings and then click Control Panel. You will get the control panel window (see figure 1).

Check if you can see the ‘Mail’ icon shown highlighted in figure 1.

If you can see the ‘Mail’ icon go to the procedure for configuring Microsoft Outlook.

If you cannot see the ‘Mail’ icon in control panel do the following:

  1. Open Microsoft Outlook from the ‘start menu/Programs/Microsoft Office/Microsoft Outlook’.
  2. Once Outlook is opened, the following dialog will be shown (see figure 2).
  3. Select the second option as shown in figure 2 and Click Next.

  4. The following dialog will be shown (see figure 3). Click Next.

  5. The following dialog will be shown (see figure 4). Click OK.

  6. The following dialog will be shown (see figure 5). Click Finish.

  7. In an upcoming dialog click ‘yes’ to open Outlook. Then go to File menu in outlook and click ‘Exit & logoff’. If Outlook does not open then ignore and continue.
  8. Click View and then Refresh in the control panel window as shown in figure 6. You will now see the Mail icon described above.

Procedure for Configuring Microsoft Outlook

  1. Copy the following file into your H:\ drive.

  2. Double Click the ‘Mail’ icon in the control panel window. You will see the following property page (see figure 7). Click the ‘Add’ button in the ‘Services’ page.

  3. You will see the following dialog (see figure 8). Select ‘Internet E-mail’ and click OK.

  4. You will see the following property page (see figure 9). In the general page enter the details as shown in figure. Be sure to enter your full CS Mail address in both the E-mail address and Reply address boxes (figure 9)

  5. Click the ‘Servers’ page. You will see the following (figure 10). Enter ‘mail.cs.tamu.edu’ for incoming mail and ‘smtp.cs.tamu.edu’ for outgoing mail. Enter your CS account name and your CS UNIX password as shown in figure 10 (the account name is the same for both windows and UNIX accounts. But the passwords may differ. Enter your UNIX password only in the field). Check the remember password check box.

  6. Click the Connection page. Make sure the settings are as shown in figure 11.

  7. Click the advanced page. Make sure the settings are as shown in figure 12. Outlook will normally fetch the mails from the server. What this means is that if you use ‘Pine’ to access your e-mails, you will not find them. To prevent this, you can check the ‘Leave a copy of messages on server’ box shown in figure 12. When you do this you will always find your mails in ‘Pine’.

  8. Finally Click the OK button on property page.
  9. The dialog in figure 7 will be shown again. Click on the ‘Add’ button.
  10. The following dialog will be shown (figure 13). Select ‘Personal Folders’ and click OK.

  11. In the following Browse window select the ‘mailbox.pst’ file you had copied into your H:\drive during step 1 (see figure 14) and Click Open.

  12. In the oncoming property page titled ‘General’, type “Mail Box” for the Name field (see figure 15) and click OK.

  13. You will get back the dialog in figure 7. Click OK.

You have now configured your Microsoft Outlook for reading mails. Open Microsoft Outlook to read mails.

Checking your e-mails

Once you have configured outlook you can fetch your e-mails from the mail server by clicking the ‘send/receive’ button shown in figure 16. Whenever you want to update your inbox with new mails, just click the same button.

Deleting Microsoft Outlook configuration

You may want to stop reading your e-mails by Microsoft Outlook. In that case you should delete your Outlook configuration settings by following the steps below:

  1. Go to control panel and double click the ‘Mail’ icon (see figure 17).
  2. In the ‘Services’ page select ‘Internet E-mail’ and click Remove (see figure 17). Click ‘yes’ in the upcoming dialog box.

  3. Again in the ‘Services’ page, select the personal folder ‘Mail Box’ (or it may be any other name you might have given) and click Remove (see figure 18). Click ‘yes’ in the upcoming dialog box.

  4. Finally click OK button in the property sheet of figure 18.

Note:To re-configure Microsoft Outlook after you have deleted a previous configuration, follow the same procedure given above for configuring Microsoft Outlook.
